Platform operator and service

VOI Studio is operated by Mark James Graham, an individual sole trader, ABN 41 244 585 735. The software supports studio bookings, enquiries, client records, communication, payment visibility, reporting and authorised provider connections. Contact admin@voi.studio for platform support.

Your workspace

The workspace owner is responsible for its authorised users, accurate studio information, account security and the data entered into the service. Use only accounts, records and provider connections you have permission to manage. Do not attempt to access another studio's information or misuse the service.

The studio remains responsible for its client relationships, required notices and permissions, and the laws and provider agreements that apply to its operations.

Subscriptions

Available plans, prices, trial periods, renewal and billing terms are shown when choosing a subscription and at checkout. Subscription payments are handled through Paddle. Additional active bookable artists may affect studio pricing as disclosed for the selected plan; admin-only memberships do not create artist seats.

Google Ads and other connections

Provider connections require appropriate authority from the studio and remain subject to the provider's terms. The studio selects its Google Ads account and separate existing qualified-lead and purchase-conversion actions. VOI Studio verifies the destination before saving it; eligible conversion delivery must also be enabled.

The Google Ads connection reads account, conversion-action settings and campaign performance and sends eligible tattoo-booking and purchase records using Google's Data Manager service. It does not change campaigns, budgets or bids. Delivery results distinguish submission and processing; they are not a guarantee of ad attribution, campaign performance or revenue.

Disconnecting prevents new authorisations through that connection. Requests already authorised or received by the provider may still finish. Provider-side data and stored delivery history are not automatically deleted by disconnecting.

Gmail and assisted follow-up

Connect only a mailbox the studio is authorised to use. Confirm the mailbox before allowing read-only lead checks or opening Email inbox, and ensure the studio has provided the notices and obtained the permissions required for its mailbox and client information. Email inbox indexes the connected mailbox history and caches opened message text as described in the privacy policy. VOI studio tags apply only inside the application. Sending requires a separate owner/admin choice to enable replies, grant Google send permission and confirm the mailbox. Staff must review the recipients, content and attachments before explicitly sending each reply. AI and follow-up rules cannot send automatically. Saved inbox drafts are private application records, not Gmail drafts. Read-status synchronization is a separate owner/admin choice requiring Google permission and mailbox confirmation. When enabled, opening a conversation marks its captured known unread messages read, and staff can explicitly mark the latest received message unread. These changes affect Gmail as well as VOI Studio. Read-status access does not enable app sending and does not permit the application to archive, delete or change other Gmail labels. Staff should check pending or uncertain status before repeating an action.

Follow-up classifications and any separately enabled AI draft assistance require staff review. The studio is responsible for checking the source conversation, booking and payment records before acting. These features do not guarantee that an enquiry is lost, that a client will book or that any estimated value will become revenue. AI processing is separately controlled from Gmail connection; its data handling is described in the privacy policy.

Availability and support

Service availability and message or conversion delivery can depend on third-party systems. Features may be updated or paused for maintenance, security or provider changes. Studios should review failed or uncertain operations and retain the records they need for their business.

VOI Studio is not an emergency service. Contact the appropriate emergency service for urgent assistance.

Privacy

The VOI Studio privacy policy describes platform information handling, Google data use, disconnection and requests for access, correction or deletion. Each studio is responsible for the privacy notices covering its own client services.
